How Hayashi Technology Solutions collects, uses, shares, and protects information when you use this website, submit a form, or otherwise communicate with us.

Hayashi Technology Solutions (“HTS,” “we,” “us,” “our”) is a managed IT services and cybersecurity consulting firm headquartered at 2821 Isle St, Rocklin, CA 95765. You can reach us at (916) 672-8299 or info@hts-i.com. This Privacy Policy applies to this website and to communications you have with us through it. It does not govern the data we process on behalf of our clients under separate written services agreements—those engagements have their own contractual privacy and confidentiality terms.
2. What This Policy Covers
This policy covers information you give us directly through the website (for example, when you submit our consultation form, request a download, or email us), and limited technical information we automatically collect from your browser when you visit. It does not cover third-party websites that link to or from this site; those have their own privacy practices.
3. Information We Collect
Information you provide
- Contact form submissions: name, company, work email, phone number, company size, the services you would like to discuss, and the free-text contents of your message.
- Email and phone communications: any information you choose to include when you write or call us directly.
Information collected automatically
- Server access logs: IP address, browser user-agent, requested URL, referring URL, and timestamp—collected by our web server for security, abuse prevention, and operational diagnostics.
- Security telemetry: our website firewall (Wordfence) records information about blocked malicious requests and login attempts to protect the site.
- Cookies and analytics: only when explicitly enabled by the site operator (see Section 6).
We do not knowingly collect special categories of personal data (such as health, biometric, or financial information) through this website. Please do not submit such information through the contact form.

We do not sell or rent your personal information. We do not use your information for cross-context behavioral advertising. We do not share your contact information with third parties for their own marketing.
5. How We Share Information
We share limited information with the service providers we rely on to operate the website and respond to inquiries. Each provider is bound by their own published privacy and security terms:
- Web hosting: Webmin / Virtualmin on a managed Linux server. Hosts the website files and logs.
- Email delivery: Microsoft 365 (via FluentSMTP). Form submissions and our reply emails are transmitted through Microsoft’s email infrastructure.
- Website security: Wordfence. Provides firewalling and malicious-request detection at the application layer.
- Analytics (only if enabled): Google Analytics 4 and/or Microsoft Clarity. See Section 6 for details and an opt-out path.
- Web fonts: Google Fonts. Your browser may make a one-time, cached request for a small subset of a font file used in our site logo.
We will disclose information when we believe in good faith that disclosure is required to comply with applicable law, a valid legal process, a lawful government request, or to protect the rights, property, or safety of HTS, our clients, or others.
6. Cookies, Analytics, and Tracking
We use a small number of cookies that are strictly necessary for the website to function (for example, to remember whether a form submission failed so we can repopulate your input). These do not require consent under most privacy frameworks.
When analytics are enabled by the site operator, the following may also be loaded:
- Google Analytics 4: aggregate measurement of pages visited, traffic sources, device type, and approximate geography. IP anonymization is on by default in GA4. Opt out at tools.google.com/dlpage/gaoptout or by enabling Do Not Track in your browser.
- Microsoft Clarity: anonymized session recordings and heatmaps that help us see which parts of pages visitors interact with. Sessions are pseudonymized; we do not provide Clarity with names, emails, or any form-field contents. Learn more or opt out at clarity.microsoft.com.
You can clear or block cookies through your browser settings. Doing so does not affect your ability to use the website.
7. How Long We Keep Information
- Contact form submissions: retained in our email system for the duration of the related conversation and, where appropriate, for the duration of any resulting engagement, plus a reasonable record-retention period after.
- Server access logs: typically rotated within 30 to 90 days, longer if required for security investigation or legal hold.
- Wordfence security telemetry: retained per the plugin’s default rolling window.
- Analytics (if enabled): retained per the analytics provider’s configured retention period.
You can ask us to delete the personal information we hold about you (see Section 9).
8. How We Protect Information
We apply reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction. Specific measures include HTTPS with HSTS for all site traffic, application-layer firewalling, restricted server access with multi-factor authentication, and routine patching. No security program eliminates risk entirely; you transmit information to us at your own discretion.
9. Your Privacy Rights
California residents (CCPA / CPRA) [review]
If you are a California resident, you have the right to: (i) know what personal information we collect about you and how we use it; (ii) request a copy of that information; (iii) request correction or deletion; (iv) opt out of any sale or sharing of personal information (we do not sell or share for cross-context behavioral advertising); and (v) be free from discrimination for exercising these rights.
All visitors
Regardless of jurisdiction, you can ask us to access, correct, or delete personal information we hold about you. Submit your request to info@hts-i.com with the subject line “Privacy Request.” We will verify your identity using the information we already have on file and respond within a reasonable period. Where the law sets a specific deadline (45 days under CCPA, for example), we will comply with that timeline.
10. Children
This website is intended for a business audience. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact info@hts-i.com so we can delete it.
11. International Visitors
HTS is based in California, United States. If you access this website from outside the United States, your information will be transferred to, processed in, and stored in the United States. By using this website, you consent to that transfer and to the application of United States law.
12. Do Not Track
This website does not respond to “Do Not Track” browser signals. Where supported, the Global Privacy Control (GPC) signal will be honored as an opt-out of sale or sharing for California residents—a moot point in practice because we do not sell or share for cross-context behavioral advertising.
13. Third-Party Links
The website may link to third-party websites we do not control. We are not responsible for their content or privacy practices. Review the privacy policy of any site you visit through a link from this one.
14. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, applicable law, or other operational reasons. When we do, we will revise the “Last updated” date at the top of this page. Material changes will be highlighted on the page for at least 30 days.
